Refund policy
Last updated 13 August 2026. This policy applies to fees invoiced by Identity Flowcore for labs, clinics, seminars, Pulse Ledger access, and Atelier retainerships. This website does not take payment.
Eligibility
Refunds are available when we cancel a programme, when we refuse a seat after payment because the lab is a documented mismatch (for example, no SQL for Cohort Signal Lab), or when you withdraw within the timeframes below. Employer-paid seats follow the same calendar; the refund returns to the paying entity unless that entity instructs otherwise in writing.
Timeframe
Live programmes: a full refund is available if we receive a written withdrawal at least 14 days before the first session. Between 13 and 5 days before the first session, a 50% refund applies. Inside 5 days, fees are non-refundable except where we cancel or where Thai consumer law requires otherwise.
Pulse Ledger (recorded): a full refund is available within 7 days of access being granted if fewer than 20% of the recordings have been played, measured on our hosting logs. After that, the fee is non-refundable.
Atelier Retainership: unused critique slots after a written cancellation mid-term may be refunded pro rata minus the sessions already held and minus a THB 3,000 administration amount.
Full versus partial refund
A full refund returns the programme fee you paid us, not third-party costs such as your travel or software licences. A partial refund follows the percentages above. If we must cancel a live cohort (faculty illness, venue failure, or too few seats), you choose a full refund or a transfer to the next dated cohort at no extra fee.
Non-refundable items
Bank transfer charges levied by your bank. Printed materials you requested beyond the standard digital pack. Guest-ticket add-ons once the guest session has occurred. Custom in-house workshops scoped by separate statement of work follow that statement, not this page, unless the statement is silent.
Refund process
Email info@identity-flowcore.digital with the subject “Refund request,” your invoice number, and whether the seat was personal or employer-funded. We confirm eligibility within five working days, Bangkok time. Approved refunds are processed within 15 working days after that confirmation.
Refund method and processing time
We refund by bank transfer to the account that paid us, in Thai baht unless we originally invoiced another currency. International incoming fees on your side remain yours. Processing time after approval is typically 3–15 working days depending on the banks involved.
Cancellation by the studio
If we remove a participant for serious breach of the terms (harassment, sharing cohort recordings, submitting uncleared confidential dumps after warning), fees are not refunded. If we postpone a start date by more than 21 days, you may cancel for a full refund instead of waiting.
Exceptions
Nothing in this policy limits non-excludable rights under Thai consumer protection law. If a mandatory cooling-off right applies to your purchase channel, that right prevails. Force majeure that prevents both delivery and a timely reschedule is treated as a studio cancellation with a full refund.
